Executive Administrative Assistant
Berklee College of Music, Valencia campus is seeking an Executive Administrative Assistant who is bilingual in English and Spanish and who has experience in diverse and international environments. This person will be expected to perform a variety of tasks, help keeping long term projects on track, and handle urgent requirements. The ideal candidate is responsive, thoughtful, self-directed, positive, and seeking a challenging role.
Under the general supervision of the Executive Team, the Executive Assistant provides support to the Senior Vice President, International Learning Environments, and Executive Director, María Iturriaga, to the Senior Director of Operations, and External Affairs, Manuel Costa and to the Dean of Academic, Affairs, Simone Pilon, assisting with administrative tasks and communication, and leading minor projects.
Essential Functions / Primary Duties and Responsibilities:
The Executive Assistant will manage calendars, organize travel arrangements, coordinate visits and business events, coordinate timelines and minor projects as appropriate.
The position will also require preparation of documents and presentations under guidance from the executive team as well as communications management, including writing documents and letters, preparing presentations, and formatting documents and proposals.
Moreover, the Executive Assistant will perform administrative accounting tasks as credit card reconciliation, expense reports or organization of documentation as well as assisting in the stationary logistics administration and serving the College in other duties related to administrative work.
Knowledge and Skills Required:
Candidates must have 3+ years of administrative experience and experience in a multilingual work environment.
Bilingual in Spanish and English, oral and written
Bachelor’s degree or equivalent professional experience
Excellent office and administrative skills, including typing, reception, phone, and file organization
Strong writing skills: ability to initiate and respond to correspondence and generate comprehensive and accurate minutes
Strong computer skills and experience in word processing, spreadsheets, databases and visual design
Budget, record keeping and financial tracking and accounting skills
Ability to communicate with administrators, faculty, staff, and students in a professional and sensitive manner. Maintain a positive attitude and willingness to work with all team members
Detail oriented, organized, diplomatic and tactful
Self-motivated, proactive, and forward-thinking
Strong organizational skills: ability to balance large workload in a busy office environment and set and manage multiple priorities in a timely fashion
Confidentiality: Ability to manage highly sensitive and confidential material and to use discretion in communications with students, parents, staff and faculty
